The production meeting is the venue where all areas can share information, clarify the needs of the department, establish deadlines, and work on creating a schedule  with consideration for each departments priorities.  Rehearsal notes form the basis of most of the discussions that occur in the weekly production meetings.  Most production meetings are led by the production manager.  The production manager coordinates all production activities throughout the production season and leads the entire production team to a successful season of shows produced on-time, on-budget, and meeting the director and designer’s vision.


The Properties Director should strive to have a strong working relationship with the production manager insuring good communication on issues involving calender, budget, personnel, and design parameters.  The properties director utilizes the production manager to resolve issues between the shops or when difficulties arise with a designer or director.  A comfortable open relationship is valuable in making sure the prop shop has an equal voice as the production moves forward through the build/tech/run/strike process.  When budgets get strained or designs inflated, the production manager is the person who should step in to sort things out, define priorities based on the overview of the show, and juggle personnel and budgets to match needs.  The production manager is often the person who deals with facilities and company vehicle issues as well.    

 

The Properties Director should attend all production meetings to keep everyone informed about the status of the properties build, to clarify any concerns from rehearsal, and especially to ask and answer questions about areas of production overlap necessitating collaboration.   In props, overlap is common.  Props are one of the most integral and interconnected departments in the theatre production area.  Sharing the load of production by splitting the labor or dividing up the materials cost of a project uses the strengths of all departments, allowing a better product through close production team work.  Each department has specific skills, when used collaboratively, allowing the best results on stage.
